Roster Instructions

Click the roster drop down list above and then click on the resident you want. You can also click the Alpha link to the right of the roster to go to a alpha listing of the residents.

Once you have the resident selected, then click the red load button. You will be brought to the resident's cardex page where you can make changes in their diet, likes, dislikes, nourishments, weights, labs, meal consumption and comments.

Click the Submit/Return to Roster button to Save any changes, or Press the Back Button (or close the tab) on the Web Browser to return to the page to work on another resident's cardex.

Admitting and Discharging

These are special programs that allow you to adjust the drop down roster and to create brand new files for new residents. The Discharge option can also be used to change a line in the drop down roster.

Spend Down Sheets

The spend down sheets are designed for minimized and easy input. Select Spend Down Sheet from the drop down menu, and then select the catetory of input you want. This sets the category and general ledger input for you. Then, put in your date and click Load Spend Down. You will see that half of your input is already in place. You put in your invoice number only once and then put in your amounts. Calculations are done when you click the submit button. Note that you can combine your spend down categories onto one sheet by not selecting a category. It's up to you. If you have more than one category on a given spend down sheet, you receive calculations for each category on the sheet, as well as a grand total for the entire sheet.

Printing Tray Cards

To print the tray card for one resident, select them from the drop down roster list above and then click the cardex button. You will see a Tray Card link at the top of the resident's cardex page. Click that link and the resident's tray card will be assembled instantly. There will be a Print link at the top of the tray card. Click that and then click print.

To print all tray cards, click the Tray Cards/Labels menu option at the top of this screen and then click All Tray Cards. You are presented with a setup page where you can choose several ways of printing your cards. Select the one you want, and then within ten seconds, all of the resident's tray cards will be assembled and placed on a seperate web page with a print link at the top. Click the print link and then click print.

Printing Nourishment Labels

Click the Tray Cards/Labels menu option at the top of this page and then click Nourishment Labels at the bottom of the list. A setup page is loaded and you can input the dates you want on the labels, as well as adjust the label formatting options to make sure the labels print correctly. Permanent changes to the formatting of labels is done through the setup button on the opening screen of the desktop version of the Active System.

Click the option you want, and within seconds, all of your labels are assembled on a seperate web page with a print link at the top. Click the link and then click print.

Managing Printed Select Menus

Before you print a select menu for a resident, you need to load their cardex and assign a Set and Col number for the resident. The Set is usually 1, for the first page of spread sheets. The col, or column number, refers to the column of the spread sheet that the system needs to use to print the select menu. It should be the primary diet for the resident. This would be column #2 for mechanical soft diets. #3 for pureed diets. If the resident is on regular consistency, you should choose #1 for Regular OR the column number for the special diet component (NAS, NCS, CCHO, Renal etc. The actual column number depends on how you set up your spread sheets). If a resident has more than one special diet component, choose the column for one of them and the system will search and replace key menu items for menu items that conflict with the other diet components. The set and col numbers are inputted into the assigned boxes on the far right of the first line of the cardex for the resident. Sel: and Col: boxes.

Note: Each individual resident also has a menu substitution list located after the meal consumption record of their cardex page. You can type in specific menu items and then indicate what you want substituted for those items on that resident's menu. The menu items are case sensitive, so type them in exactly as they appear on the menu, so the system can find them and replace them with the menu items you specified.

Menus and Select Menus

The Active System has a very powerful menu planning and menu management program. You simply click Menus in the upper left and then choose whether you want to work with the spread sheets, display menus, or setup your select menus. It is easy to input your entire menu into the Active System. The menu will be spread across seven diets of your choosing. These diets can be combined in any order, and the end result is translated to your select menus, and even your specialized Display menus.

Employee Scheduling

Employee scheduling becomes an easy task with the Active System. The final schedule can also be accessed from any computer, laptop, tablet, or smart phone. You start by clicking the Schedules Drop Down menu above and then inputing the month and year of the schedule you want to work with. Each schedule contains forty five days of scheduling, and the last two weeks of the schdule is automatically transferred to the next month in order to make the transition from one month to the next as smooth and transparent as possible.
